During the summer results period, Analytics places selected cohorts’ Exams reports under ‘Embargo’. This temporarily locks the Exams report upon publishing from 12.01am on the official embargo dates until 8.00am on the following day. Only staff with ‘View Embargo Reports’ enabled in their user group in Analytics will have access during this time period.
However, if you would want the Exams Embargo to be lifted at a later date, you can do so by Locking the Exams Report, and ensuring that only your chosen User Groups have access to Locked Reports. That way, when the Embargo is lifted at 8:00am on Results Day, the Report will continue to be Locked, and therefore only accessible to your Admins and any other User Groups with access to Locked Reports. When you want to lift this, you can unlock this report at a time of your choosing. We've described the steps for setting this up below:
1 / Edit the Permissions of any Embargo User Groups
You can ignore this step if you don't have any other User Groups (aside from the default Admins) with access to the Embargoed Reports.
Navigate to USERS > Groups. Click into each of your custom User Groups, and if they have access to Embargoed reports, you'll need to click 'Edit Group Actions' on the next page, and ensure that this group also has access to Locked Reports. Below shows the example, for the above Embargo Group:
Similarly, if you have any custom User Groups set up without Embargo Access, you'll need to click into this, click 'Edit Group Actions' on the next page, and ensure that they do not have access to Locked Reports at this time. Below shows the example for the Admin w/o Embargo group. You may wish to revert these settings back to how they were once the Embargo is over if you need these user groups to be able to access Locked Reports normally.
For more information on creating Embargo User Groups, read our Exams Report Embargo (2024) guide.
2 / Set the Exams Report Status to Locked
To Lock Your KS4 Exams report, go to REPORTS > KS3/4 > Select your cohort. Then click on your Exams dataset and on the right, under Admin Actions, click the blue pencil icon. This will allow you to set the Report Status to 'Locked'.
To lock your KS5 Exams report, go to REPORTS > KS5 > Select your cohort. Then select your Exams dataset, and on the right, click 'Edit Details'. This will allow you to set the Report Status to 'Locked'.
Once you'd like your own "embargo" to be lifted, you'd need to navigate back to this page and change the Report Status back to 'Checked' or 'Unchecked', which will unlock this report.
