This article covers how to assign qualifications to classes, which is an essential step in order for the relevant classes to be pulled through to the KS3/4 and KS5 reports.
As Analytics is grade driven, students will only appear within a qualification or class in the reports if they have a grade uploaded for the assigned qualification.
Assign Qualifications
Class data is pulled through from the most recently imported student data file for a cohort, where applicable. To ensure this is pulled through to the reports successfully, you must assign the qualifications students are taking to the relevant classes.
To do this, go to DATA > select key stage and cohort > STUDENTS > Classes > Assign Quals.
The left hand side lists the 'sets of classes' that have been imported in the 'Subject' column (Column C) of your student data file(s). You must assign qualifications to the relevant sets of classes here in order for Analytics to link the classes and grades data together.
To do this, click the green + icon (or blue pencil, if already assigned) next to the relevant set of classes.
Q: I can’t see any icons in the Actions column? A: These icons will only appear in the Actions column once grades have been uploaded for the cohort. You should then be presented with a list of qualifications that have been uploaded in the grades file(s) for that cohort.
In the pop out, the ‘Qualifications Current Unassigned’ section will display qualifications that haven’t yet been assigned to a set of classes. The ‘Qualifications Already Assigned’ section will display qualifications that have been assigned to at least one set of classes.
To assign a qualification to a set of classes, place a tick next to the relevant qualification(s), then click ‘Save’.
You can then repeat this process for all qualifications taken by the cohort.
Did you know? You can assign qualifications to multiple sets of classes! For example, if you have two sets of classes, such as “Off Site” (containing students sitting qualifications off site, and therefore don’t have official timetabled lessons) and “French” (for students sitting it in school), you can assign your French qualification to both sets of classes! Students with a grade in French would then have their latest class from both sets of classes appear in the reports. This may be worth bearing in mind if your sets of classes’ names change throughout the year. You can also assign multiple qualifications to the same set of classes! For example, multiple Science qualifications (Biology, Chemistry, Physics, etc.) to the same set of “Science” classes! Analytics will pull through all classes under the assigned set of classes, where appropriate, in the reports. |
Once you have assigned qualifications to a set of classes, the icon in the Actions column will become a blue icon. You can click this to add or remove the qualifications which have been assigned to that set of classes.
Have all my qualifications been assigned?
If you scroll down to the bottom of the page, you will also see the ‘Unassigned Qualifications’ section, where you can view the qualifications which have not yet been assigned to a set of classes. This is useful for finding which qualifications have not been assigned to a class and so would be flagged as ‘Missing Class Data’ in the Grades Management section (GRADES > Grades Management).
In the reports, these qualifications will still appear if they have at least one grade uploaded, but class-level analysis will not be available (they will show each student as 'Not In Class').
