Once KS2 or EAP baselines have been uploaded, you are able to set up each KS2 subject. This would involve setting the grade type (and grade method, if necessary), as well as nominating the core subjects, which should count towards subject specific measures, such as Progress 8 and Banding.
Once these have been set up, you will need to check for any warning icons. These will not prevent you from publishing, however they may have an impact on the accuracy of your figures in the reports. This article explains what each of these icons represent and how they can be resolved.
To check for set-up issues, go to DATA > Keystage 3/4 > select cohort > KS2 / EAP > Baselines. The key in the top right of the page can be used to determine the issues flagged.
Below we have outlined what each icon is, what causes these to be flagged, and the steps to resolve these.
Missing Student Data
This icon indicates that a student has a baseline uploaded for the flagged subject, however they do not have student data imported for the cohort under that student ID. This means the baseline will not pull through to the reports and should be resolved using the following questions:
1. Does this student have student data imported for the cohort (STUDENTS > Cohort)?
YES: It may be that a different student ID has been used within the student and KS2 files. Analytics uses the student ID to link the correct students with the correct grades, so this must be consistent across all files uploaded for a cohort. You will need to double check this student’s correct ID at school, then re-import/upload your file again with the amended ID.
NO: Move on to question 2 below.
2. Is the student part of the cohort, and therefore should have student data imported?
YES: You will need to add the student data for this student. You can either upload a new student data file that includes this student, along with their classes, filter values, etc. This can be done via STUDENTS > Import. Alternatively, you can manually create the data for this student by going to KS2 / EAP > Baselines and click the grade count of the subject. Scroll down to the student that is missing the student data and click the icon to 'Create Missing Student' in the Actions column.
You will then be taken to a new page where you can manually add the student's filter information and then click on 'Save' to create the new student data. You would also need to manually add any class information for this student by clicking on the Classes dropdown and selecting 'Add Class'.
NO: You may wish to remove their baseline data in order to keep this area tidy and avoid any confusion. To remove this, go to KS2 / EAP > Baselines and click the grade count of the subject. Then place a tick next to the student/s and click ‘Delete Selected’.
Grade Not In Method
This icon indicates a baseline grade has been uploaded in a different format than expected, based on the grade type or grade method selected for that subject. For a list of valid values for each grade type, take a look at Appendix 1 – Valid Grade Type Values. This issue should be resolved by answering the following questions:
1. Has the correct grade type and grade method been set?
YES: Move on to question 2 below.
NO: Ensure the correct options are selected in the Grade Type and Grade Method columns (if applicable) by going to KS2 / EAP > Baselines and then clicking on ‘Edit’. Once you have selected the correct grade method and grade type, click 'Save'.
Q: I’m shown the message ‘Cannot edit - subject in use in an EAP or Baseline Group’, what should I do? A: You will be unable to change the grade type or grade method if a subject is in use. In this case, pop on to Live Chat and we can check the best solution for you. |
2. Are the grades uploaded in the correct format, as specified by the grade type or grade method? For example, D* instead of Dist*.
YES: The grades should be recognised by Analytics. If you do have issues, feel free to pop onto live chat.
NO: You can either amend the grades within the grade file and then reupload this in KS2 / EAP > Uploads. Alternatively if you only have a few grades that need amending, you can edit the grades manually in KS2 / EAP > Baselines by clicking on the subject's Grade Count and then clicking on 'Edit Grades'. You can then enter the correct grade(s) and click 'Save'.
KS2 baselines should not be uploaded for students without official KS2 data or valid teacher assessment. A value of 0 for any students will be flagged with the Grade Not in Method warning icon, and these should be deleted. |
Core Nomination Incorrect
The nominations in the Core column of the Baselines section are vital in ensuring KS2 core subject-related performance measures, such as Progress 8, are calculated in line with the DfE.
If this icon is displayed, this indicates that the Core column has not been nominated accurately based on the expected setup for that cohort (as this can change, year on year).
To resolve this, within KS2 / EAP > Baselines, click ‘Edit’. You should then ensure that only the appropriate subjects for the cohort are nominated under the Core column and then click 'Save'.

Core Nomination Incorrect Grade Type
For the subjects nominated in the Core column of the Baselines section, Analytics will also check the expected grade type has been selected for that cohort, based on DfE guidance.
If the incorrect grade type has been selected, a warning icon will be displayed to highlight this and the expected grade type will be displayed on the page in italics. For leavers cohorts that are officially awarded NC Fine Levels, we also recommend ensuring that you have uploaded these to the appropriate number of decimal places for that cohort, to ensure related measures are calculated in line with the DfE. For ease, we have also included a table in the section above which details the subjects and grade types expected for core subjects each year.
You should ensure the correct subjects with the correct grade type have been nominated in the ‘Core’ column for that cohort and can change either of these options via KS2 / EAP > Baselines, by clicking ‘Edit’ and selecting the relevant option before clicking 'Save'.
