If you have any BTEC size 2 and above Exam grades from JCQ, then you may find that these are in a different format to how you normally assess these. As such, if you were to upload the JCQ values into Analytics then these would not be seen as valid, and you would not be able to publish or analyse them within the reports.
The image above gives an example of how the JCQ codes relate to the official grades for each qualification type, for example a value of D2 for an Extended Diploma would be a D*D*D grade. The full
list can be found on the Pearson site here. Using this information there are two options available to allow you to upload and analyse these values within Analytics, explained below.
Option 1: Alternative Upload Values
Alternative upload values can be used if you have grades awarded in a different format than already set within Analytics. For example, using the ‘Extended Diploma’ column in the JCQ table above you would be able to use an ‘Alternative Upload Value’ of D2 which Analytics would then recognise as a D*D*D.
You can add alternative upload values to your grade methods via CONFIG. > Grade Methods > KS5 Methods by clicking into the grade method name and then clicking ‘Reconfigure’ on the right.
On the ‘Alternative Values’ step you can tick the box for ‘Include alternative upload values’ which will then allow you to enter the appropriate values. In the example below, we’ve used the JCQ values for an extended diploma as the alternative upload values.
Once done you will then need to continue the grade method setup process through to the end, and you would be able to upload your grades file with the JCQ grades being recognised.
If you already have different alternative upload values in use then we would recommend using Option 2 instead (detailed below), so that historical data isn’t affected. |
Option 2: Find & Replace in Excel
You can use Find & Replace within Excel to change the JCQ grades into the values you already have set within CONFIG. > Grade Methods (EAP) > KS5 Methods in Analytics.
If you have multiple BTEC qualifications then you would need to ensure the values are replaced separately for these so the correct ones are in use. This can either be done by filtering the column (if the qualifications are all in the same column) or selecting the column (if the qualifications are in separate columns). |
With Excel open you can press Ctrl + F on your keyboard and select the ‘Replace’ tab.
In the ‘Find what’ field you would then enter the JCQ value and in the ‘Replace with’ field you would enter the grade in the format of your grade method, then click ‘Replace All’. In the example below, we are replacing the value of D2 to D*D*D.
You would then need to repeat this for each of the values from JCQ so that all grades are in the format shown in your grade method. Once done you would be able to run your grade file through the Sisra Analytics Excel Add-In and upload into Analytics.
