Once you have uploaded EAP baselines, you can check for setup issues in DATA > Keystage 5 > select cohort > KS4 / EAP > EAP / Baselines > Baseline Management.
The key in the top right can be used to indicate the issue(s) flagged.
Any warning icons flagged must be resolved to ensure accuracy in the reports. If reports are published with these icons, the affected student/s will be excluded from on track analysis.
Missing Student Data
This icon indicates that a student has a baseline uploaded for the subject, however they do not have student data imported for the cohort using that student ID. We would recommend working through the following questions to resolve this:
1. Does this student have student data imported for the cohort? (STUDENTS > Cohort)
YES: It may be that a different student ID has been used within the Student and EAP Baseline files. Analytics uses the student ID to link the correct students with the correct baselines / grades, so this must be consistent across all files uploaded for a cohort. We would recommend double checking the student’s correct ID at school, possibly within your MIS.
If the student data has been imported incorrectly, this can be re-imported with the correct ID in STUDENTS > Import.
If the EAP baseline data has been uploaded incorrectly, this can be re-uploaded in KS4/EAP > EAP/Baselines > Uploads, then click the red X icon to delete the previous file.
NO: Move on to question 2.
2. Is the student part of the cohort, and therefore should have student data imported?
YES: You can either import a new student data file that includes this student, alongside their classes, filter values, etc. via STUDENTS > Import. Or you can add the student data manually by going to KS4/EAP > EAP/Baselines > Baseline Management and clicking into the Grade Count for the baseline that has student data missing. You can then click on the icon in the Actions column to 'Create Missing Student'.
You will then be taken to a new page where you can enter the student's filter values and then click 'Save'. You will also need to manually add their class information by clicking into the Classes tab on the next page and then clicking 'Add Class'.
NO: You may wish to remove their EAP baseline/s in order to keep this area tidy and avoid any confusion. To do this, click KS4/EAP > EAP/Baselines > Baseline Management and click the Grade Count of the subject. Then place a tick next to the student(s) and click ‘Delete Selected’.
Grade Not In Method
This icon indicates that a student has a baseline uploaded for that subject in a different format than expected, based on the associated grade type or grade method. We would recommend working through the following questions to resolve this:
1. Has the correct grade type and grade method been set?
YES: Move on to question 2.
NO: Ensure the correct options are selected in the Grade Type and Grade Method columns (if applicable) via EAP/Baselines > Baseline Management > ‘Edit’.
Q: I’m shown the message ‘Cannot edit - subject in use in an EAP’, what should I do? A: This message means that this subject has already been selected as a baseline in at least one EAP in KS4/EAP > EAP/Baselines > EAP. You will be unable to change the grade type or grade method if a subject is in use. In this case, pop on to Live Chat and we can check the best solution for you. |
2. Are the grades uploaded in the correct format, as specified by the grade type or grade method shown? (You can check the grades accepted within a method in CONFIG. > Grade Methods > KS5 Methods.)
YES: This should be recognised but if you still have problems, please don’t hesitate to pop on to Live Chat.
NO: You can either edit the grades within the file and re-upload this via KS4/EAP > EAP/Baselines > Uploads, or, if you only have a few grades to change, you can amend the grades manually by going to KS4/EAP > EAP/Baselines > Baseline Management, clicking into the subject's Grade Count and then clicking on 'Edit Grades'. You can then manually change any grades before clicking 'Save'.
Once all the warning icons have been resolved, you can publish/republish your KS4/EAP data by going to KS4 / EAP > Publish KS4 / EAP and clicking 'Publish'.
