There are a number of reasons why a qualification's grades may not be appearing in the Reports. We've listed the most common reasons below:
1. Have your Grades been published / republished?
2. Have Grades been uploaded in this qualification?
3. Have these Grades been uploaded to the correct qualification?
4. Has this qualification been set up correctly on the Matching page?
1. Have your Grades been published / republished?
First it's good to check that you've republished your Grades dataset(s) in DATA > Select your keystage and cohort > GRADES > Publish Grades, as this ensures that the grades and setup in your reports is as up-to-date as possible.
2. Have Grades been uploaded in this qualification?
You can skip this step if you navigate to GRADES > Grades Management > [Select your dataset], and find that the grades are uploaded to the qualification in question here.
It may be that the grades in question were not included in the file uploaded to GRADES > Uploads > [Select your Dataset]. You can check this by navigating to DATA > Select your keystage and cohort > GRADES > Grades Management > Select your dataset. Then once here, if you scroll down to the qualification in question, you can check if grades have been uploaded to this qualification. In the below screenshot, BTEC Travel & Tourism is the qualification we're checking, and can see it doesn't have any grades uploaded in this dataset.
If these grades should be present in the upload, then you will either need to upload a separate file to GRADES > Uploads > [Select your dataset], containing just these missing grades. Alternately, you can reobtain your full grades file from your MIS containing all of your grades including these missing grades, upload this new file to GRADES > Uploads > [Select your dataset]. Then, only once this has been checked to be correct, delete the previous file from here.
Finally, republish in GRADES > Publish Grades, to ensure that this is correctly reflected in your Reports.
3. Have these Grades been uploaded to the correct qualification?
You can skip this step if you navigate to GRADES > Grades Management > [Select your dataset], and find that there is only one possible qualification present and the grades are uploaded and present here.
Checking Which Qualification is Correct
It may be that the grades have been uploaded, but to the wrong qualification. For example, a common issue regards accidentally uploading Combined Science grades into the qualification used for historical KS3 Science uploads. However, this can occur with any situation regarding duplicate qualifications. If you go to GRADES > Grades Management > [Select your dataset], and scroll down looking for the qualification in question, you can see which qualification these grades are uploaded to. In the below example, these grades have been uploaded under the qualification named 'Science' as opposed to 'Science Combined'.
There are two places to check which qualification is correct to upload into. Firstly, you can check the GRADES > Matching page. In the below example, you can see that Science Combined is the correct qualification, as this is set to Current (not Historical) and the latter Science qualification is set to being Not Included.
If both of these are set up and included, you can navigate back to GRADES > Grades Management > [Select your dataset], scroll down and click the magnifying glass in the Actions column next to your qualifications in question. You can then see which qualification is used to upload your current grades, and as such which should contain your grades in this dataset. For Science Combined in the below example, this clearly is used in KS4 uploads.
However, this page's view for the Science qualification below shows that this qualification was used in KS3 and not KS4.
Moving The Grades Over
If you need to move the grades from one qualification to another, you can do this by going to GRADES > Grades Management > [Select your dataset], scroll down and click into the Grade Count for the qualification you'd like to move the grades from. Then on the next page, check the box in the Grade column header to select all on this page. Then click the blue 'Move' button and select to move these to the correct qualification. You may need to repeat this if there is more than one page of grades to move over. You can read more about doing this in our Copying or Moving Grades guide.
If you additionally need to move Attitude to Learning judgements, unfortunately there is no way to move these to a new qualification. As such, you will need to reimport these into GRADES > Uploads > [Select your dataset], in the appropriate Attitude to Learning tab. Once the required changes have been made, you would need to republish the Grades datasets in question in GRADES > Publish Grades.
4. Has this qualification been set up correctly on the Matching page?
If your grades are uploaded to the correct qualification as checked before, it may be an issue with how the qualification has been set up in GRADES > Matching. In the below example, my Art Graphics grades are not showing in the reports, but checking in GRADES > Grades Management > [Select your dataset], these are shown to be present under this qualification. When navigating to GRADES > Matching, you can see that this qualification has not been correctly set up here.
You would need to complete the Matching set up for this qualification in order to have this show correctly in the Reports. You can read more about doing this in our KS3/4: Completing the Matching page (Admin) or KS5: Completing the Matching page (Admin) guide.
If the qualification in question has not been linked correctly to a qualification / QN because it's unapproved, you would need to link this to one of our Sisra Unapproved qualifications, which you can do so with the help of our below guides: KS3/4: Matching - Unapproved Qualifications / Qualification not listed (Admin) KS5: Matching - Unapproved Qualifications / QNs not available (Admin) |
Then you'll need to republish in GRADES > Publish Grades, to have this change reflected in the Reports.
