This article contains instructions on how to add staff initials to class codes within Excel, before you upload / import student data into Analytics.
In your MIS you should be able to edit the student report definition to extract your teacher initials.
- If you’re using SIMS for example, go to Reports > Design Report > Start with an existing Report.
- Find ‘Sisra Analytics Students Report’ from the list.
- Add a field which displays staff initials (usually within the classes sub-report > Supervisors > Basic Details > Initials).
- Run the student data report as normal and open this in Excel.
- You should see a format as above with the initials of each staff member in column K (if there are no manually created student data filters in your file).
- In cell L2, type =CONCATENATE(D2,“ “,K2) and press enter - the concatenate formula joins up the two cells in to a new field
Please Note: There is a space in between the quotations marks in the green highlighted field!
- Drag the formula down to the bottom of the student data list to fill in the column.
- You will see the names of the classes and the initials are now joined up (if the information has been copied then you may have to press F9 to apply the formulas).
- You will then need to right click on the column header for column L and click ‘Copy’.
- Right click on the column header for column L again and click ‘Paste Special’, then select ‘Values’, then ‘OK’.

Now replace the old class codes (in the Class column) with the new initialled ones and run the Excel Add-In as normal.
- Upload / import your student data to Analytics and you will see the codes displayed in the Classes section, then once published in the reports.
