We would only recommend deleting a qualification if it was created or uploaded by mistake, which we have explained below. If it is the case where the qualification is no longer being taken, instead you can leave the qualification within Analytics, but on the Matching page, in GRADES > Matching page, change the CURRENT and INCLUDE columns to No, if you'd no longer like the grades to be included in the reports.
Deleting a qualification
If you need to delete a qualification, for example if it is a duplicate qualification that has been uploaded in error, you can do this within Analytics. Go to DATA > select keystage and cohort > GRADES > Grades Management and then select a data set or assessment/collection that the qualification you want to delete appears in. If the qualification is in multiple data sets, it doesn't matter which one you select - deleting the qualification will remove it from all data sets.
For example, shown on the Exams Grades Management page below, you can see that there are 2 Geography qualifications - one of which has the correct spelling and the other the incorrect spelling (Gography).
We have already moved over the grades we wanted to keep to the 'Geography' qualification. For more information on how to move grades, you can access our article - Copying or Moving Grades.
When you are ready to delete the qualification, click on the magnifying glass icon on the row for the grade you want to delete. Please ensure that you are selecting the magnifying glass for the unwanted qualification and that you are certain that you want to delete it, as this process cannot be reversed.
On the Qualification Details page, you can see a list of your data sets and assessment points along with the grade count for this qualification in each of these.
If you had grades still uploaded for any of these data sets or assessments, there would be a check box in the 'Select' column, as shown in the example of 'Geography' below. Selecting these boxes would allow you to just delete grades from specific data sets. This cannot be undone.
As you can see, for 'Geography' the button at the top right is for 'Delete Selected' because there are still grades for this qualification. As the grades from the 'Gography' qualification have already been removed, the grade counts are already at zero and so this button has been changed to 'Delete Qualification' (as seen in the screenshot above).
Once you have clicked on 'Delete Qualification', you will get a warning message that this will delete the selected qualification and you will need to click 'OK' in order to confirm that you want to delete.
This qualification will then be removed from Analytics completely and will no longer appear on your Matching page. However, for this change to be reflected in the reports, you will need to republish any data sets and assessments that this qualification had previously appeared in by going to DATA > select keystage and cohort > GRADES > Publish Grades.
