Publishing your grades data allows you to publish standalone data sets, such as Exams, Targets, Mocks, etc. as well as individual assessment collections (e.g. your Predictions or Current grades).
To publish your grades, click DATA > select KS5 and cohort > GRADES > Publish Grades.
You will then have access to the following tabs:
Data Sets
The Data Sets tab is where you can see any standalone data sets containing grades, such as Exams, Targets, Mocks, etc..
You can click 'Publish' to the far right of the data set to open up a pop out window, as shown in the screenshot above, explained in the next section of this article.
Analytics will then perform a health check on the data set. If you're presented with 'Health Check Failed', you will be shown the issues identified, which we recommend resolving before publishing. You can click on the ‘Area’ to quickly navigate to the area affected. However, for more information resolving these issues, please see our article - KS5 - Publishing Grades: Health Check Failed.
ASSESSMENTS - Year 12 and Year 13
This is where you will be able to publish the reports for an assessment collection for these students, either from when they were in Year 12 or Year 13.
To publish, click on either the 'Year 12' or 'Year 13' tab depending on which year the collection relates to.
You will then see two publishing slots for each term, allowing you to publish up to two assessment collections per term for a total of 12 per cohort.
To publish a collection, click ‘Publish’ next to one of the two slots for the term the collection is related to.
For example, if you are looking to publish your ‘Year 13 Autumn’ assessment and this collection has been set to relate to Year 13 Term 1, then you will need to click the ‘Year 13’ tab then select to publish in one of the two publishing slots for that term.
In the pop-up window that follows, you will be prompted to select the assessment collection that you wish to publish in that slot for that term, and you can then follow the steps explained in the next section of this article.
Headlines
The headlines toggle is then used to determine whether you would like to produce DfE based headline figures in your reports.
If headlines are enabled, Analytics will perform an additional health check to help ensure your headlines are calculated in line with the DfE.
Details
In this section, you can specify additional preferences to be applied:
-
Report Status: This allows you to select a status for the report to be published with:
- Unchecked - This status can be used to indicate that the data has not been checked and may be subject to change; available to all users.
- Checked - This status can be used to indicate that the data is complete and has been checked; available to all users.
- Locked – This will lock the report so that only users with the appropriate authority can access this. By default, any staff with ‘Admin’ authority can access locked reports, whereas those within the default ‘User’ group cannot. To create custom authority groups for different roles in school, see our article - Creating Custom Authority Groups (Admin).
- Incomplete - This status can be used to indicate that that some results are missing from the data. These reports will be available to all users.
-
Report Note: This allows you to enter an optional annotation to the report, which will be displayed on the REPORT homepage. For example, if there are any missing grades, you could add a note to inform staff of this.
-
Default Report Toggle: Enabling this toggle will make this data set or assessment collection the
default report, which means that this will be pre-selected on the REPORTS homepage for this cohort. This could be useful for your most recent assessment collection, as this will appear by default without staff needing to change the report already selected. Leaving this toggle disabled will mean this will not appear as the default report once published.
Once you have completed all sections here, click ‘Publish’. A pop-up window will be displayed showing the progress of the publishing, which will turn green once complete.
You can either click ‘Close’ to close the pop out once this has finished, or to access this report straight away click ‘Go to report’.
