Once you have uploaded at least one grades file into Analytics, Analytics will perform checks on the grades uploaded and Attitude to Learning (AtL) judgements imported, to find any potential setup issues that could affect the integrity of the reports.
This guide aims to explain how to identify and address the 'Missing Class Data' warning icon which can arise.
The process for resolving this is the same in both KS3/4 and KS5, however below we have used KS5 in the screenshots as examples.
Missing Class Data
The Missing Class Data icon indicates that at least one student with a grade uploaded in that qualification has no class data imported for the selected set of classes, for the associated key stage.
You can check the set of classes currently assigned in the ‘Set of Classes’ column. If the reports are published with these icons shown, the affected student(s) will be placed in a ‘Not in Class’ group when viewing class analysis.
We would recommend working through the following questions to resolve this:
1. Has the qualification been assigned to the correct set of classes? (Check the 'Set of Classes' column)
YES: Move on to question 2.
NO: First check if there is a set of classes available for this qualification by going to STUDENTS > Classes > Assign Quals. If the classes are available but haven't been assigned, click on the blue pencil icon or green + icon next to the set of classes to assign the qualification to it. If the classes are not available, you will need to create the missing classes (See manually creating classes below).
2. Does the student have any class data imported for this qualification within the selected set of classes for this key stage? (Check STUDENTS > Cohort > click into the student’s name > Classes)
YES: This should be pulling through correctly, but if you need any help please feel free to come on to Live Chat.
NO: Check to see if the student has appropriate class data imported within a different set of classes. If they do, you can amend the missing class data. If the class exists within the selected set of classes, click 'Edit Classes' if the student is already assigned to that set of classes of click 'Add Class' if the student is not in that set of classes.
If the class does not exist within the set of classes, you can create the missing classes manually (See manually creating classes below). If the student does not have appropriate class data imported, then move on to question 3.
3. Did this student sit in a class in school for this qualification / is it timetabled?
YES: Add the missing class data. If the class exists within the selected set of classes, click ‘Edit Classes’ or ‘Add Class’ to select this. If the class does not exist within the selected set of classes, see below for instructions on how to create the class manually.
NO: If this qualification is sat off-site, you can create an 'Offsite' or 'N/A' class for this student(s) (See Below).
Creating a new set of classes manually
If there are students that have a grade uploaded for a qualification, but do not sit in a class for this (for example, if the qualification is not timetabled or this has been taken off site), you can create the missing class data within Analytics to reflect this. This allows you to either create a new set of classes, or individual teaching groups for students to sit in within these.
To do this, click GRADES > Grades Management > select data set and assessment collection (if applicable), then either click the spanner icon,
OR click into the grade count, then click ‘create the missing class information’ on the banner.
1 / If the 'Set of Classes' column is blank:
First, enter a name for the set of classes, which will appear in the DATA area of Analytics and be used to group the teaching groups together. Then, enter a class name, which will pull through to the reports and should indicate why this student does not have a class, e.g. “Off Site”.
Double check the list of students is correct, untick any students you do not wish to be included in this class, and click ‘Save’. Analytics will then assign this qualification to the set of classes entered and add the missing classes for the selected students.
2 / If the Set of Classes column is populated:
Either select an appropriate existing class for each student in the Teaching Group dropdowns, or leave this set to “N/A” to create a new class within the assigned set of classes. Double check the list of students is correct, untick any students you do not wish to be included in this class and click ‘Save’.
The “N/A” class can then be renamed to be more user friendly in the reports by going to STUDENTS > Classes > Manage Classes. Click on the set of classes name, then click the blue pencil icon to rename this.
