Once you have uploaded at least one grades file into Analytics, Analytics will perform checks on the grades uploaded and Attitude to Learning (AtL) judgements imported, to find any potential setup issues that could affect the integrity of the reports.
This guide aims to explain how to identify and address the 'Missing Student Data' warning icon which can arise.
The process for resolving this is the same in both KS3/4 and KS5.
Missing Student Data
The Missing Student Data icon indicates that at least one student with a grade uploaded in that qualification has no student data imported under the same ID. Analytics uses the student ID to link the appropriate student with the correct grades, so it is vital to ensure that these IDs are consistent throughout all student data, EAP baselines or grades files imported or uploaded for a cohort.
We would recommend working through the following questions to resolve this:
1. Does this student have student data imported for the cohort? (STUDENTS > Cohort)
YES: It may be that a different student ID has been used within the Student and Grades files. Analytics uses the student ID to link the correct students with the correct baselines / grades, so this must be consistent across all files uploaded for a cohort. We would recommend double checking the student’s correct ID at school, possibly within your MIS.
If the student data has been imported incorrectly, this can be re-imported with the correct ID in STUDENTS > Import.
If the grades data has been imported incorrectly, this can be re-uploaded in GRADES > Uploads and then select the data set. You can then click the red X to delete the previous data file.
If the student data and the grades data have the same ID, this student data should be correctly recognised, but if you still have problems please feel free to pop on to Live Chat.
NO: Move on to question 2.
2. Should this student be included within this cohort?
YES: You can either import a new student data file that includes this student, alongside their classes, filter values, etc. via STUDENTS > Import. Or, you can add the student data manually by going to GRADES > Grades Management > selecting the relevant data set and assessment collection (if applicable) and then clicking into the Grade Count for the subject that has the missing student data. You can then scroll down to that student and click the icon in the Actions column to 'Create Missing Student'.
Note: If a student is showing as 'No Student Data' but this student has previously left the school, then this student has been incorrectly deleted from this cohort, and should be re-created as described above. Then once this student has been created they can be set again to 'Left School' in the STUDENTS > Cohort section, by ticking them and selecting 'Change Status'. |
You will then be taken to a new page where you can enter the student's filter values and then click 'Save'. You will also need to manually add their class information (unless the student has left the school) by clicking into the Classes tab on the next page and then clicking 'Add Class'.
NO: If the student does not belong in this cohort and grade has been uploaded in error, you can simply delete the grade by going to GRADES > Grades Management > selecting the relevant data set and assessment collection (if applicable) and clicking into the Grade Count for that subject. Then place a ick in the box for that student and click 'Delete'.
