Once you have uploaded at least one grades file into Analytics, Analytics will perform checks on the grades uploaded and Attitude to Learning (AtL) judgements imported, to find any potential setup issues that could affect the integrity of the reports.
This guide aims to explain how to identify and address the 'Grade Not In Method' warning icon which can arise.
The process for resolving this is the same in both KS3/4 and KS5, however below we have used KS5 in the screenshots as examples.
Grade Not In Method
The Grade Not in Method icon indicates that at least one student has a grade uploaded in that qualification, which does not match the format defined in the grade method within the selected EAP.
You can hover over the warning icon with your mouse cursor to see the number of grades/students affected.
You can also check the EAP and therefore grade method currently being used in the ‘EAP’ and ‘Grade Method’ columns respectively.
To investigate the students affected, click on the blue underlined figure in the Grades Count column.
You will be unable to publish the reports until this is resolved, and so we recommend working through the following questions to do so:
1. Is the selected grade method correct?
YES: Move on to question 3.
NO: Check whether the selected EAP is correct.
2. Is the selected EAP correct?
YES: If the EAP is correct but the grade method isn't, you will need to change the grade method within the EAP.
- KS3/4: Click DATA > KS3/4 and cohort > KS2/EAP tab > EAP > Click on the EAP Name. Within the EAP, click 'Edit EAP'. You can then select the correct grade method in the 'Assessment Methods' dropdown before clicking 'Save'.
- KS5: Click KS4 / EAP > EAP / Baselines > EAP > click into the EAP name and then click 'Edit EAP'. You can then select the correct grade method in the 'Assessment Methods' dropdown before clicking 'Save'.'.
NO: If the selected EAP is not correct, you can change that by going to GRADES > Matching and clicking 'Edit'. You can then select the correct EAP in the 'EAP' dropdown box and then click 'Save Changes'.
3. Are the grades uploaded in the same format expected in the method? (Click into the grades count to compare the format here to the format reflected in the method in CONFIG. > Grade Methods > KS3/4 or KS5 Methods.)
YES: This grade should be correctly recognised. If you need any more help regarding this, please pop on to Live Chat.
NO: Move on to question 4.
4. Should these grades be included in the method as additional fail grades or alternative upload values? (Additional fail grades could include grades such as “WT”, whereas alternative upload values could be “Pass” instead of “P”, etc.)
YES: You will need to edit the grade method by going to CONFIG. > Grade Methods > KS3/4 or KS5 Methods. Then click into the method name and select 'Reconfigure'. You can then skip through the steps until you are able to add your additional grades.
NO: If the grades should not be in the method and have been uploaded in error you will need to amend the grades.
If there are several grades that need changing, you can edit the grades file and then re-upload the file in GRADES > Uploads > select data set or assessment collection. You can then delete the old file by clicking the red X icon.
If you only have a few grades to change, you may wish to do this manually via GRADES > Grades Management > select data set and assessment collection (if applicable). You can then click into the Grades Count and select 'Edit Grades'. Once you have amended the grades you can click 'Save' and when you return to the Grades Management page the warning icon will have gone.
