Replacing Grade Files (e.g. updated Targets)
You should only upload one full set of grades into each standalone data set, such as Targets, Mocks, and Data Sets 3 to 5.
To update a set of Targets (for example) and keep the old set, we would recommend using a spare, empty data set if available, with one file uploaded into each.
To check this, click DATA > select key stage and cohort > GRADES > Uploads and click through each data set to see if you have one that is empty.
Alternatively, if the previous data is no longer needed, it's best practice to follow these steps in order:
- Upload the new file first.
- Remove the old file by clicking the red cross icon next to this (Please note, once a file has been removed, it cannot be undone).
- Republish your data set (GRADES > Publish Grades) for the changes to be reflected in reports.
This ensures no setup is lost for the cohort and the latest grades pull through to reports.
Deleting grades for individual qualification
If you are looking to replace grades for an individual qualification that had grades uploaded within the same file as other qualifications, you can delete the grades for this qualification manually and then upload additional file containing just the grades for the new qualification.
To delete the old grades you'd need to go to GRADES > Grades Management > select dataset/assessment from the drop down (e.g. Targets) and click on a Grade Count for a qualification.
Here you can tick the grades you want to delete under the Grade column (or you can tick the whole column if you want to delete all the old grades) and click the Delete. Please ensure to only delete the grades you no longer need as this cannot be reversed!
Once the unwanted grades are deleted you can either add new grades manually using Add Grade button at the top or you can upload an additional file with just the grades you need to this dataset/assessment.
Once this is done, the reports would need to be republished in GRADES > Publish Grades.
