This article aims covers the steps for how to manually calculate the KS4 APS GCSE and KS4 APS All baselines if there are students missing from Get information About Pupils (GIAP) (if they did not study Y11 at your school within the corresponding year), or you’re working with 21/22 or 22/23 Leavers.
1 / Collect all grades achieved in KS4.
First you will need to collect all grades these students achieved in KS4. If you do not have these grades available in your MIS, you may need to contact the students’ previous school(s).
Any qualifications eligible to count towards the performance tables from 2014 onwards will be able to count towards these calculations (as per DfE guidance, here). So although a qualification was unapproved for the year the student was reported on in KS4, if this was approved for another year, 2014 onwards, this would still count.
2 / Find the associated points for each grade.
Once you have found the grades achieved, you must determine the points these are worth. The points within these calculations should reflect the KS4 points used for the year the students will be reported on in KS5. For example, if you’re working with Leavers (21/22), as they were reported on in 2022, the KS4 2022 performance points should be used. At the time of writing, the latest KS4 DfE’s Performance Points spreadsheet is for 2023.
3 / Calculate average point score.
When calculating the average point score, for either GCSE or All qualifications, best grade discounting will apply. Therefore, if a student has resat a qualification in KS4, although the first entry would count towards the KS4 performance tables, the best grade would count towards their prior attainment. Any resits or additional qualifications taken in KS5 will not count towards this.
If students have taken Combined Science double award, this would count as one entry towards these calculations, using the average points.

Once you have collected all grades for each student at KS4, you can follow the instructions provided in this worksheet to enter the number of qualifications achieved at each specific grade. This will then calculate the APS which you can use to import to Analytics. |
