This article aims to explain how you can set up the 23/24 and any previous leavers cohorts for the first time in preparation to upload Exam results only, without populating EAPs, using the on, above or below track functionality or uploading historic assessment data. This will be handy if your Y13 is currently blank and you have not input any data or setup for the cohort yet.
We do not recommend following this article if you are setting up Year 12. Instead, we recommend working through our KS5 - Getting Started Checklist (Admin) article, which goes through each step in more detail. |
1 / Creating Grade Methods
First, you need to create the appropriate grade methods in CONFIG. > Grade Methods > KS5 Methods. You can use your QN codes for the qualifications your students are taking, to search for a relevant grade structure*. For more information, see our KS5: Creating Grade Methods (Admin) article.
*There are a limited number of QNs that will not return a specific grade structure, for example qualifications not reported on by the DfE since 2017. If an option does not appear for your QN, please feel free to get in touch via the Support button in the bottom right of Analytics.
2 / Importing Student Data
We’d recommend importing two sets of student data; the latest set of Y12 information for the cohort, as well as the January / Spring Census data to help determine student statuses.
To import your student data, click DATA > select KS5 and cohort > STUDENTS > Import and select whether this contains their Y12 or Y13 classes, and repeat with your second file. For more information, see our KS5 - Setting Up Spring Census Student Data (Admin) article.
If your school is part of a Multi Academy Trust which uses the Juniper Insights Dashboard, you should complete Key Filter Mapping via STUDENTS > Key Filter Mapping. Otherwise, you can proceed to the next step.
3 / Importing Core Baselines
For Level 3 Value Added you must import separate KS4 APS GCSE and KS4 APS All baselines to at least 2, but ideally 4 decimal places. Import this via KS4/EAP > Core Baselines > Import Core Baselines.
For L2 English and Maths Progress, as well as L3 Maths measures (which have been officially suspended by the DfE until the 24/25 performance tables, however are still available in the Analytics reports for internal analysis) you would need to import students’ respective Prior English and Prior Maths challenge points from KS4. For all cohorts post-2019, students GCSE 9-1 grades have the same respective points, for example a grade 9 would be 9 points. 4a / Uploading EAP Baselines
Before you can create your EAP(s) you would need to upload at least one baseline (KS4/EAP > EAP/Baselines > Uploads). As the pathways won’t be a factor in this situation, the baseline can be anything as it would have no impact on the reports, such as a grade data file that you already have (Targets, current grades etc.) or could just be a grade file for one qualification.
Once uploaded you can set this in the Baseline Management* section to use a ‘Grade Type’ of ‘KS5 Grade Method’ and the relevant ‘Grade Method’, ready to create your EAP(s) from.
*As pathways are not necessary, you can just set up ONE qualification in Baseline Management, and use this for all your EAPs, covered in the next step.
4b / Creating EAPs
An EAP must be created even when you are not using the full functionality, as it defines the types of grades awarded to each qualification and the points associated with them. You will need to create an individual EAP for each type of qualification that students will be taking in their exams. The EAPs do not have to be populated with expected attainment grades, but the EAP does need to include the appropriate grade method that will be used e.g. A Level, AS Level, Core Maths, BTEC, etc.
To create a generic/blank EAP, click KS4/EAP > EAP/Baselines > EAP > ‘Create EAP’. Select ‘KS5 Grade Method’ in the Baseline Type dropdown, then select any uploaded baseline as your EAP Baseline. Then, select the relevant grade method in the ‘Assessment Methods’ dropdown. The EAP is then complete and can be used for any qualifications which should use the same Grade Method, shown in the below screenshot. This can be repeated until you have one EAP per grade type.

5 / Upload Grades
We recommend uploading target grades to populate the cohort with a full list of qualifications ahead of Results Day (saving setup time on the day itself) and allow for comparisons against targets (GRADES > Uploads > Targets).
Upload any banked exam results and Exam results received in the summer into the Exams data set by going to GRADES > Uploads > Exams > ‘Upload Grades File’. For applicable cohorts, if you have banked grades from 2020 or 2021, these should be uploaded with a date ranging from 01/08/21 to 31/08/21, which ensures they will not count towards headline figures, in line with DfE guidance.

6 / Assign Qualifications
Assign all qualifications to the relevant sets of classes by going to STUDENTS > Classes > Assign Quals. For more information, see our Assigning Qualifications to Classes (Admin) article.
7 / Matching
Complete the Matching page (GRADES > Matching) using your QNs, also ensuring that you set each qualification to the EAP containing the appropriate grade method*.
If your QN does not return an appropriate option, it may be that this is unapproved, and we would therefore recommend entering ‘Unapproved’ and selecting the appropriate type. Alternatively, feel free to take a look at our KS5 Matching - Unapproved Qualifications / QNs not available (Admin) article.
*This step will need to be repeated once the exam results in the summer have been uploaded, unless you have uploaded a set of Target grades. Alternatively, you can set the Matching page up in advance by clicking ‘Create New Qualification’, and creating the qualification names beforehand.
8 / Grades Management
As a reminder, always check the Grades Management section for warning icons and resolve any that you find before publishing the reports (GRADES > Grades > select dataset from the dropdown, such as ‘Exams’). For more information, see our Checking Grades Management (Admin) article.
9 / National Data - Value Added
Complete the Value Added set up, by clicking GRADES > National Data > Value Added. Click ‘Edit VA Data’ and select ‘2019 Amended’* (the latest available, at the time of writing).
* The DfE have confirmed that the Level 3 Value Added measure may be returning for the 23/24 performance tables. Once they release the relevant VA National Data for this after the results period, you would need to return to this page and edit the VA year, then republish to see the VA calculated based on the new estimates.
10 / Publishing
You will need to publish:
- Student data - STUDENTS > Publish Students > click ‘Publish’.
- KS4 Core Baselines and EAPs – KS4 / EAP > Publish KS4 / EAP > click ‘Publish’.
- Grades data – GRADES > Publish Grades > ‘Data Sets’ tab. Publish your Targets and Exams data sets.
